Feeling Groovy Music School and Jervis Bay School of Music
Last updated: 19 October 2026

This policy explains how Feeling Groovy Music School and Jervis Bay School of Music ("we", "us") collect, use and look after personal information.

What we collect

  • Contact details for students, parents and guardians (names, phone numbers, email addresses, postal addresses).
  • Lesson information such as enrolments, attendance, instrument, teacher and progress notes.
  • Billing records such as invoices and payment history. We never see or store card details: online card payments, including gift certificates bought on this website, are processed by Stripe (directly or through My Music Staff).
  • Messages you send us by email, SMS, phone or our website forms.

How we use it

  • To run lessons: scheduling, reminders, attendance and communicating with families.
  • To send invoices and receipts and keep financial records.
  • To reply to enquiries and let you know about school news, events and holiday programs. You can opt out of news and promotions at any time.

We do not sell or rent personal information, and we do not share it with anyone except the service providers we use to run the school (for example our student management, email, phone and accounting systems), or where the law requires it.

Our internal Google Workspace tool

We use a private, internal tool that connects our own school Google accounts (Gmail, Google Calendar, Google Drive, Google Contacts and Google Tasks) to an AI assistant. Staff use it to read, draft and organise school email, calendars and documents more efficiently.

  • It is only used by our own staff with our own school Google accounts. It is not offered to the public, and families never sign in to it.
  • It runs on a server we control. Access tokens are stored on that server and are never sold, shared or used for advertising.
  • Information received from Google APIs is only used to provide these features to our staff. Its use complies with the Google API Services User Data Policy, including the Limited Use requirements.
  • Google data is not used to train general AI models, and people do not read it except where needed for security, to comply with the law, or with our permission.
  • Access can be removed at any time at myaccount.google.com/permissions.

Keeping information safe

We keep personal information in secure, password-protected systems, limit access to the staff who need it, and delete or de-identify it when we no longer need it.
